Balances, ledgers and receiving payments

See who owes you (and whom you owe), record payments against several invoices at once and share a statement.

Updated 13 Oct 2026

Who owes you?

  • Contacts › Customers shows each customer's Total Sale Due.
  • The dashboard's Sales payment due list shows overdue invoices.
  • Reports › Supplier & Customer Report summarises everything.

The ledger (statement)

Open the contact and choose Ledger. Pick a date range to see every transaction with a running balance. Use Print or PDF to share it with the customer.

Receiving a payment for several invoices

  1. Contacts › Customers, then on the customer row Actions › Pay (or Pay on their page).
  2. Enter the amount, method (cash, M-Pesa…), date and reference.
  3. Save. The payment is applied to their oldest unpaid invoices first.

To pay one specific invoice, use Sell › All sales › Actions › Add Payment on that sale.

Opening balance

If a customer already owed you money before you started using TechFusion, enter it as Opening Balance on the contact (Edit). It shows on their ledger and can be paid like an invoice.

Advance payments

If a customer pays before buying, record it with Pay without any due invoice. It becomes an advance balance that can be used as a payment method (Advance) on their next sale.

Note: Supplier balances work the same way: see what you owe under Contacts › Suppliers and pay with Actions › Pay.
