A role is a set of permissions. Every user has one role.
Built-in roles
- Admin: full access to everything in the business, including settings, users and M-Pesa keys.
- Cashier: selling on the POS and basic sales tasks.
Creating your own role
- Go to User Management › Roles › Add.
- Give it a name, e.g. "Store Manager" or "Senior Cashier".
- Tick the permissions it needs, grouped by area: User, Supplier, Customer, Product, Purchase, POS/Sell, Brand, Tax, Unit, Category, Report, Settings, Expense, Home (dashboard) and more.
- For selling roles, also set:
- Access selling price groups;
- whether they can edit price, give discounts or view purchase price;
- Access locations (or set this per user).
- Save, then assign the role to users.
Common setups
| Role | Typical permissions |
|---|---|
| Cashier | POS sell, add customer, view own sales, open/close register |
| Store keeper | Products view/add, purchases, stock adjustment, stock transfer |
| Manager | Everything above plus reports, expenses, all sales, discounts |
| Accountant | Reports, payments, expenses, contacts. No product editing |
Important: Hide purchase price and profit from cashiers unless they need them. Also restrict Delete sell, so mistakes are corrected with returns, which leave a record.
Note: Changes to a role apply the next time the user loads a page.
