Recording a purchase (receiving stock from a supplier)

Add stock you bought, record its cost and what you still owe the supplier.

Updated 13 Oct 2026
  1. Go to Purchases › Add Purchase.
  2. Choose the Supplier (or add one with +), the Reference No (the supplier's invoice number), Purchase Date and Business Location.
  3. Purchase Status:
    • Received: the goods are in the shop and stock increases now;
    • Pending or Ordered: not arrived yet, so stock doesn't change. Edit the purchase to Received when they arrive.
  4. Search and add the products. For each, enter quantity and unit cost (before or after tax). If prices changed, you can update the selling price here too (if enabled).
  5. Add any discount, purchase tax and additional shipping charges.
  6. Under Add payment, record what you paid now (amount, method, date). Anything unpaid becomes Purchase due.
  7. Click Save.

Bonus or free items

Add the free items with a unit cost of 0. The stock increases without adding cost.

Tip: Attach a photo or PDF of the supplier's invoice under Attach Document. It makes checking and audits much easier.

Note: To order from a supplier before goods arrive, use Purchases › Purchase Order (if enabled), then convert it to a purchase when you receive the goods.
