Go to Settings › Invoice Settings. There are two parts.
Invoice schemes (numbering)
An invoice scheme decides invoice numbers, e.g. INV-2026-0001 or 0001.
- Add: choose a format (Blank, Year), a prefix, the start number and the number of digits.
- Set one as default, and choose which scheme each location uses (Business Locations › Edit).
Note: Don't reset or reuse numbers in the middle of the year. Each invoice number should be unique for your records and for KRA.
Invoice layouts (design)
Invoice Layouts › Add (or edit the default):
- Design: Classic or Elegant for A4 invoices, Slim for 58/80 mm thermal receipts;
- Logo, header text, business details, tax number;
- what to show: customer, payment info, total in words, barcode or QR code, item SKU, discounts, tax breakdown;
- Footer text, e.g. "Goods once sold are not returnable" or your Till/Paybill number.
Then choose the layout per location for POS and normal sales (Settings › Business Locations › Edit).
Tip: Make a test sale after changing a layout and print it. Small changes can affect how it fits on thermal paper.
