Customer returns and refunds

Record goods a customer brings back, return them to stock and refund the money.

Updated 13 Oct 2026

Returning items from a sale

  1. Find the original sale: Sell › All sales (search the invoice number), or Recent Transactions on the POS.
  2. Click Actions › Sell Return.
  3. Enter the quantity returned for each item. You can return part of a sale.
  4. Add a discount on the return if needed, then click Save.

The items go back into stock at that location, and the sale shows the returned amount.

Refunding the customer

After saving, the return appears under Sell › List Sell Return with a payment status.

  1. On the return row click Actions › Add Payment.
  2. Enter the refund amount and method (cash, M-Pesa…), then save.

If the customer doesn't take money back, leave it unpaid. It stays as an amount you owe them, which you can use against their next purchase.

Exchanges

Do a Sell Return for the item coming back, then make a new sale for the replacement. Record any difference as a payment or refund.

Tip: On the POS, the ↩ Return button in the top bar lets you search an invoice number and start the return without leaving the sales screen.
