1. Look at the product's stock history
Products › List Products › Actions › Product Stock History, choose the location. Every movement is listed with its reference. Look for:
- a sale entered twice (same items, minutes apart);
- a purchase still "Pending" or "Ordered": stock is only added when the status is Received;
- a stock transfer not marked Completed;
- a return that wasn't recorded;
- stock sold from the wrong location.
2. Fix the cause, not just the number
| Cause | Fix |
|---|---|
| Duplicate sale | Delete the duplicate sale (stock comes back) |
| Purchase not received | Edit the purchase, set status Received |
| Transfer stuck | Edit it to Completed |
| Damaged / lost / stolen | Record a Stock Adjustment |
| Never recorded | Add a purchase (if bought) or opening stock |
Negative stock
Stock goes below zero only if Allow Overselling is on. Record the missing purchase, or turn overselling off in Business Settings › Product to prevent it.
Tip: Count your fastest-moving products weekly. Small differences found early are easy to explain. Big ones found at year-end are not.
