Low-stock alerts and stock history

Get warned before you run out, and trace every movement of a product to explain its current stock.

Low-stock alerts

Set an Alert quantity on each product (Products › Edit). When stock reaches that level the product appears in:

  • Product stock alert on the dashboard;
  • Reports › Stock Report (filter for low stock);
  • your Alerts.

Tip: Set the alert so you have enough stock to last until your supplier delivers. If you sell 5 bags a day and delivery takes 3 days, an alert of about 15–20 is sensible.

Stock history

To see exactly how a product's stock got to its current figure:

  1. Products › List Products, then on the product row Actions › Product Stock History.
  2. Choose the location (and variation).

You'll see every movement in date order (opening stock, purchases, sales, returns, transfers and adjustments) with a running balance and the reference number. It's the fastest way to find a sale entered twice or a purchase that was never received.

Expiry dates and lots

If you sell items with expiry dates (medicines, seeds, food), enable Enable Product Expiry and Enable Lot number under Settings › Business Settings › Product. You can then record expiry and lot numbers when buying, and see Reports › Lot Report and expiring stock.
